Session I (WeBex)

Contract Library I
Is an automated file cabinet. This section contains a repository for all contracts that are currently conducting business with UMDNJ. The system is designed to significantly improve the overall efficiency, document compliance efforts and reduce the monetary and regulatory risks associated with all contractual relationships. The internal collection contains several databases categorized by school units that include both large and small contracts associated with the requirements of fulfilling the CIA agreement.

Contract Collaborator I
Is a workflow engine. This section will automate the process of routing, reviewing and approving contracts. The contract originator uploads a contract template from the library, defines the list of reviewers, and sends out an email with a link to the document. The first reviewer adds his or her comments and the documents are automatically circulated to the list of reviewers. Once the review cycle is complete, the originator can finalize the contract.

Session I courses are a prerequisite to Session II.

Contract Library II
Is an automated file cabinet. This section contains a repository for all contracts that are currently conducting business with UMDNJ. The system is designed to significantly improve the overall efficiency, document compliance efforts and reduce the monetary and regulatory risks associated with all contractual relationships. The internal collection contains several databases categorized by school units that include both large and small contracts associated with the requirements of fulfilling the CIA agreement.

Database Cleanup I
Create a culture that values data. This training focuses on the clean-up of the data that uniquely identifies the contracts. To optimize the MediTract systems performance, everyone within the department should be trained to know how to use and maintain the database. A clean database can save your department time and money. Running the database cleanup periodically, especially if you have changed a lot of information in your database can prevent performance issues and remove obsolete data.

Focus Arrangement Database (FAD) I
Is a Stark and Anti-Kickback Management tool. The purpose of FAD is to track all new and existing arrangements with actual and potential sources of referral – Focus Arrangements – to ensure that each Arrangement is consistent with the Anti-Kickback Statute and Stark Laws. The section has been designed to track arrangements implicating Stark or Anti-Kickback statues including FMV determinations and related documents.

This training will train the sender how to upload the document to obtain a legal binding signature to internal and external recipients. It will also show the signer the ease of receiving a request for electronic signature, guiding the signer through the document to ensure all information and signatures are complete, and helping the signer select a ready-made signature.

PropertyTract
PropertyTract is designed to help its clients achieve a higher rate of return by improving visibility of vendor contracts, discover opportunities to consolidate relationships, renegotiate annual service contracts through cost comparison, reduce internal audit control and compliance costs, improve administration of leases and access to lease provisions, easily create and access asset management reports and creation of more effective due diligence databases. This training provides real estate organizations with a digital searchable database to manage building maintenance contracts.

Time Effort Reporting Management System (TERMS)
Under Federal regulations, all faculty and staff who are paid in part or in full by more than one federal grant and/or cost objective or more than one budget category/activity within the same grant, whose efforts are used to satisfy either a required or a voluntary match or are used in the determination of indirect costs, must report 100% of their effort. This training assists the user in using the MediTract Time Effort Reporting Management System. Simply having a Time Effort System in place does not guarantee compliance. Research institutions must have adequate Time Effort systems, policies, procedures, training and monitoring in order to effectively manage the confirmation of activities. The development and distribution of critical reporting tools is primary to effectively monitor Time Effort.
